FINANCE AND BUSINESS MANAGER
Catskill Animal Sanctuary’s Finance and Business Manager is responsible for management of the Sanctuary’s financial records, business operations, and human resources. The role reports to the Deputy Director and engages with the Donor Engagement department and Leadership Team.
RESPONSIBILITIES + QUALIFICATIONS
Responsibilities:
- Creating and tracking $2+M budget
- Creating and analyzing financial reports for all programs and departments
- Managing all aspects of banking for the organization (wire transfer, deposits, cash management for retail space, counting cash etc.,)
- Creating income and expense reports reports to share with staff on a monthly basis and quarterly with our Board of Directors
- Working as needed with Auditor to prepare for annual audit
- Processing all refunds
- Supervising the bookkeeper
- Maintaining employee records
- Compiling reports and data as needed or requested
Accounting and Financial
- Keeps accurate and up-to-date financial records in accordance with the Accounting Manual, including paper files, donor records, and accounting software.
- Works directly with Donor Relations Manager in all donation and pledge recording, tracking and reporting
- Manages all aspects of Quickbooks including daily synching with other programs like Neon CRM
- Handles all lease and utility payments from CAS properties
- Reconciles online orders
- Prepares statistical documents in support of programs for attendance, retails sales etc
- Other duties as assigned
Business Operations and Procedures
- Creates and maintains filing systems and forms
- Orders office supplies, researches best prices, and maintains relationships with vendors
- Maintains vendor relationships for all technological equipment, including printers and computers, and ensures that software and maintenance issues are addressed in a timely fashion
- Orders and manages installation of software, network and printer troubleshooting, and coordinating tech support when needed
- Maintains calendar for organizational level events at regional Chambers to insure staff attendance
- Manages insurance coverage, including obtaining insurance certificates for off-site events, ensuring contractors are self-insured, filing claims, liaising with broker for annual review of policy and to add/remove assets as necessary
- Other duties as assigned
Human Resources
- Completes new hire paperwork and explains benefits to all new hires
- Posts new positions, often screens resumes for hiring managers
- Manages employee benefits, including health insurance and voluntary benefits available through third parties. Advises, recommends adjustments
- Advises Deputy Director of changes in HR best practices, available tools, resources, etc.
- Maintains personnel files
- Monitors all law changes for minimum wage, exemption tiers, and other HR related
- Files workers comp claims
- Other duties as assigned
Qualifications:
Qualifications
- 4-year degree required, Master’s a plus
- Minimum 3-5 years professional experience required
- Proficiency in Microsoft Office, Quickbooks, and donor database administration
- Knowledge of NEON database a plus
- Human resources experience a plus
- Outstanding phone manner and customer service skills
- Team player with excellent relationship-building skills, listening skills, professional maturity, and sound judgment
- Proven ability to multi-task, manage details, and be flexible and adaptable
- Ability to take initiative, think out of the box, and work independently
- Analytical and strategic thinking with the ability to look at the “big picture” while executing details
- A commitment to veganism and knowledge of issues surrounding the plight of farmed animals and the impact of our food choices on animal suffering, the environment, and human health is a plus but not required
