PROGRAMS + OFFICE ASSISTANT

CAS seeks a full time Programs and Office Assistant to provide support in programming (mostly Tours during peak tour months (March-November), office management, as well as in other departments, including directly for the Deputy Director. This position may require some weekends on-site. 

Direct Support for Tours and other programs 20+ hours per week during peak months (Mar – November) Additional hours spent on support for other departments and Deputy Director.

Program Support:

In direct collaboration with Programs/Tours team, this person would be responsible for scheduling, reserving, handling all online payments and doing email follow ups for visitors that reached out for Member Tours, Animals On Call, and Public/Group Tours.

They will be responsible for confirming and following up with ticket holders and managing refunds or other needs including but not limited to:

  • Member tours registration, scheduling/email follow ups, managing payment
  • Animals on Call registration, scheduling/email follow ups, invoices/payments
  • Managing Public Tours inquiries, registration changes/cancellations/refunds
  • Compiling public tour pre-registration information for the humane educators
  • Cross-checking membership and payment
  • Evaluate & co-manage tour surveys
  • Group Tour scheduling & staffing to cover tours
  • Tracking all tours programs analytics

 

Departmental Office Support

  • General office support such as keeping the office stocked with supplies including printer paper and printer ink, and proactively ordering bathroom and kitchen supplies
  • Managing general phone voicemail messages
  • Assisting in ensuring all humane educators are submitting their timesheets

Strong Candidates Possess:

  • Technically capable with excellent skills using Google Suite and Microsoft products as well as some experience desired with database management, calendar software or scheduling software.
  • Proactive attitude
  • Attention to detail and superior organizational skills
  • Ability to manage multiple tasks and priorities

 

Job Type: Full-time

Pay: $15.00 per hour
